New Majority Privacy Policy

We are committed to maintaining the confidentiality and security of your personally identifiable information (“Personal Information”).

Our Privacy Officer is Morag Keegan-Henry, Managing Director. She can be reached at morag@newmajority.ca. She is responsible for ensuring compliance with our privacy policy.

Collection and protection of personal information

We collect contact information (including names, emails, phone numbers, and postal codes) as needed to engage young Canadians in politics. We also collect data about the interests and priorities of our supporters in order to better tailor our communications to you and communicate those priorities externally. Finally, we collect personal information as part of our hiring process, at both the application and at the onboarding stages. This includes information such as your contact information, your resume, and your answers to interview questions.

We are responsible for maintaining and protecting the Personal Information under our control. We will never sell your personal information. All Personal Information is protected by security safeguards that are appropriate to the sensitivity level of the information, and we take all reasonable precautions to protect your Personal Information from any loss or unauthorized use, access or disclosure.

We may record phone calls as needed for training and quality assurance purposes. If a call is being recorded, we will notify you at the beginning of the call and provide the option to opt-out of recording. We may also record information you share with us in person, by email, or by text in order to better tailor our communications and provide relevant services.

Consent

All petitions, surveys, and other forms used by our teams clearly state some variation of: “By filling out this form, you are consenting to being contacted by email and phone by New Majority”. This information is collected and stored so that we can engage young Canadians in politics – for example, by inviting them to participate in focus groups, by reminding them to vote, or by sharing resources about issues that young Canadians have identified as priorities. All canvassers and callers are trained to communicate that we will use this information to reach out about future projects and opportunities for engagement.

Consent can be withdrawn at any time by:

  • Emailing hey@newmajority.ca and requesting to be removed from our list. Please include your phone number so we can ensure it is removed.
  • Clicking the “unsubscribe” link included in all of our emails (please note, this will not remove you from our phone lists)
  • Requesting to be removed from our phone list when contacted by a caller or by text. This will also remove you from our email list.

You will be removed from communications within 2 business days.

If you have asked to be removed but do get follow-up communications, please reach out to us immediately at hey@newmajority.ca with your name and number, and we will escalate the situation and do a comprehensive review of all of our systems to ensure that you are fully removed from all locations.

If you’ve unsubscribed or asked not to be contacted, but later reach out to us (for example, by applying for a job or emailing our team), we may respond and, where appropriate, re-add you to an email or phone list.

Partners

New Majority works with partner organizations to offer opportunities for increased civic engagement. As a result, sometimes we may ask for explicit consent to share your contact information with a partner organization.

This might look like:

  • Asking on a phone call if you’d like us to sign you up for an event with a partner organization
  • Asking on a survey or petition form if you want to opt-in to hear from partner organizations
  • Asking in a meeting if you’d like to be connected with a partner organization

If, and only if, you give us explicit consent, we may share your information with the partner. In this situation, we will have asked the partner organization to sign a Data Use agreement that confirms that:

  • They will never sell your information
  • They will take all reasonable steps to safeguard your personal information
  • They will make sure that all requests to opt out of future communications are honored.

Changes to this policy

If we make any significant changes to this policy, we will update this privacy statement and the date at the top.


Data Use Agreement – Partner Organizations

This Data Agreement (hereafter Agreement) is entered into between New Majority (NM) and partner on date. The purpose of this Agreement is to establish the scope, content, and security of data to be shared between New Majority and partner.

Content

NM will share a portion of their contact list with partner. NM reserves the right to decide which segment of their contact list they share with partner, and will only ever share information belonging to contacts who have explicitly consented to receiving communications from a NM partner organization.

NM will share the following information about each contact in their list with partner:

  • Contact’s First Name
  • Contact’s Last Name
  • Contact’s Email address
  • Contact’s Phone Number
  • Contact’s Postal Code

NM will share that information with partner as it was filled out by the contact themselves in their survey response.

NM may share multiple lists with partner depending on the scope of the partnership. This agreement applies to any contact list shared by NM with partner.

Privacy

New Majority treats all personal information as confidential and does not sell, share or disclose any of it to other organizations or third parties unless explicitly authorized by the contact.

Prospective contacts can choose to opt in or opt out of receiving communications from partner organizations before they complete the interaction signing them up for NM communications. NM will never share personal information with a partner if the contact has opted out of partner communications.

As such, it is a condition of this agreement that partner treat any contact information shared with them as strictly confidential. partner agrees not to sell the data received under this agreement, and never to share this information with other organizations unless they have explicitly received consent to do so from the contact.

NM may provide additional information, such as the contact’s postal code, to ensure they receive communications that are relevant to them.

Usage

partner will contact the list provided under this agreement at their discretion. This may include communications such as emails, phone calls, or text campaigns. partner agrees that all email communications to this list will include an option to unsubscribe, and all requests to opt out of future communication will be honoured.

This agreement does not entail any kind of endorsement by NM of campaigns or projects undertaken by partner using this list.

Data storage and security

NM takes precautions to ensure the personal information, such as contact details, we collect remains secure, contained, and only accessible to authorized staff for select purposes.

partner agrees to treat all personal information shared under this agreement with all reasonable caution and confirms they have safeguarding measures in place to ensure data shared by NM remains secure.

partner takes full responsibility for the protection of personal information from this point onwards.

Agreement duration and termination

This agreement is in effect in perpetuity. NM or partner may decide not to engage in future data sharing at any time, but privacy and data security provisions remain in effect until/unless partner deletes all personal information shared under this agreement from all places.

Agreement amendments

This Agreement can be updated at any time with mutual consent, and re-signed with a new date.
